Wait List Protocol

Housing & Residential Education (HRE), in an effort to provide housing to the maximum number of students possible, utilizes a priority system as part of our wait list management policy. Due to the greater ease/convenience of local Utah based applicants to seek other housing options HRE places a priority on applicants who are not based within Utah.

Prioritization Process

  1. Wait list applicants are categorized based on their classification with the University and placed onto one of 4 different wait lists:
    • First Year Females
    • First Year Males
    • Non-First Year Females
    • Non-First Year Males
  2. Our wait list is then placed into groupings of applicants based on calendar periods and sorted by wait list registration time. Prioritization takes place within calendar groupings and not over the entire wait list.

  3. Each calendar grouping is then sorted and prioritized based on the following factors:
    • Place of residence (Utah based/non-Utah based) as provided by the University database.
    • Date and time applicant registered for the wait list.

Offering Schedule

Monday afternoon:

Weekly update emails are sent with current position on the wait list.
Offer emails are sent (if space is available) to applicants Umail account with details on how to reserve a space.

Wednesday 9am:

Reservation times begin for those given an offer.

Friday 4pm:

Reservation time closes.

Applicants are given two offers. If the first offer is not responded to applicants will be granted a second offer the following Monday (based upon room availability). If the second offer is not responded to another offer will not be made until all other applicants have received two offers.

“What does this mean to me?”

Applicants who applied between the dates of May 27th and 31st are placed into a calendar grouping. As an example: The first grouping may consist of 11 applicants. Only two applicants are non-Utah based and would then be placed first within this grouping and sorted according to their wait list registration date and time. The remaining nine Utah based applicants would be sorted according to application date and time following the non-Utah based applicants. In the next grouping, applicants who applied for the wait list between June 1st and 15th, may consist of 25 applicants. Of the 25 applicants from this grouping 7 may be non-Utah based. The same previous process is applied to this grouping with the non-Utah based applicants being sorted according to their date and time followed by the Utah based applicants, also being sorted by date and time of registration. This same process will be repeated for the duration of the wait list with calendar groupings typically consisting of approximately 15 days. Priority to non-Utah based applicants is not distributed among the entire wait list, only within these calendar groupings. Utah based applicants are not placed on the bottom of the wait list and will always maintain their original registration date and time.
