Our Facilities team within Housing & Dining Programs is here to assist you with your room, building, and overall comfort within your housing space. Please see below for information on most frequently asked questions.  

If this is a facilities emergency (e.x., power outage, loss of climate control, flood, or fire), please contact your hospitality desk for immediate assistance. 

Maintenance Requests

  • A maintenance request is for the resolution of non-emergency maintenance needs. This could be things like a burnt-out light, a slowly draining sink, and other items of this nature. When submitting a request, please be sure to include your room and building number in the body of the request, along with specific information on the location of the issue, along with a description of the concern.  

  • To submit a maintenance request please follow this link and provide as much information at possible to help guide our team.  
     
    TRAILHEAD RESIDENTS to submit a maintenance request, please follow this link. You will need to sign into your Trailhead portal and then you can fill out your request. If you are having trouble, please visit the front desk in the lobby.  
     
    Note by filling out this request you are granting permission for Facilities staff to enter your space. If the space where work needs to be done has personal belongings, please shift items so that work can be accomplished. 

  • When the Facilities team receives multiple requests for the same issue, duplicate requests will be closed so the team can efficiently track and complete the work through one active maintenance request. 

    If your request was closed, it may have been identified as a duplicate. If you believe your request was not a duplicate and the issue has not been resolved, please contact your nearest Front Desk for assistance. 

  • You will receive updates via email concerning the status of the work order such as "waiting for parts", "waiting on vendor", or "completed".

Custodial Requests

  • A custodial request should be submitted for concerns related to building cleanliness, shared spaces, or pest control. 

    Please note that custodial services do not include cleaning individual resident rooms or personal spaces. Residents are responsible for maintaining the cleanliness of their own rooms. 

  • To submit a custodial request please follow this link and provide as much information as possible to help guide the team. 

    Note: Please remove all personal belongings from the area requiring service before submitting a request. To allow our team to safely and effectively complete the work, areas that are not cleared may not be able to be serviced. 

  • For assistance with your request or to follow up on its status, please contact your nearest Hospitality Desk. Our team will be happy to help follow-up on your request. 

Room Alarms

  • Freon detectors are found in some of our housing buildings. These detectors monitor refrigerant levels in rooms and common areas. Refrigerant leaks are rare, and the detector helps ensure air quality and safety. 

  • If your refrigerant detector sounds an alarm, first take note of what is happening in the space. Certain products or conditions—including aerosols, strong perfumes or colognes, and excessive moisture—may trigger the detector. 

    If none of these factors are present: 

    1. Open a window, if possible. 
    2. Leave the space. 
    3. Visit your nearest Hospitality Desk and request that a Community Advisor (CA) be dispatched to assess the situation. 

    Please note that these detectors can be triggered by a strong concentration of certain scents or direct spray from aerosol products. The detector should reset once the triggering condition is no longer present. 

    If the alarm sounds briefly and then stops, please submit a maintenance request so that the unit can be inspected.

  • If the fire alarm sounds, please exit the building immediately. 

    An alarm may be activated due to smoke, extreme heat, an emergency, or a scheduled fire drill. Regardless of the cause, all residents are required to evacuate the building to ensure everyone’s safety. 

    After exiting, proceed to your designated assembly area and remain there until you receive the all clear from University Housing (on behalf of the Fire Department) or emergency personnel. Do not re-enter the building until you have been instructed that it is safe to do so. 

  • Exterior doors must remain closed and secured at all times. If an exterior door is propped open, an alarm will sound. 

    If you notice an exterior door alarm, please contact your nearest Hospitality Desk so staff can address the issue. 

Washers & Dryers

  • Yes, laundry machines are available at no additional cost for both washing and drying. 

    Residents are responsible for providing their own laundry supplies, including detergent, dryer sheets, and any other preferred laundry products. 

     

  • Each washer and dryer has a QR code with the machine identification number listed. If a machine needs service, please scan the QR code to submit a maintenance request directly to the laundry service provider. 

    Laundry machines are provided and maintained by an outside vendor, so University staff are unable to repair these machines. Please use the QR code on the machine rather than submitting a request through Housing & Dining Programs. 

    Trailhead Residents Only: 

    If a washer or dryer needs service, please submit a request through your Trailhead portal using the designated maintenance request form. 

Rooms & Bathrooms

  • Cleaning responsibilities vary depending on your room type and the shared spaces within your community. 

    • Suite-style or private bathrooms: Residents are responsible for cleaning and maintaining their own bathrooms. 
    • Community bathrooms: Housing custodial staff clean these regularly. 
    • Common areas (lounges, hallways, lobbies): Cleaned by Housing staff. 
    • Apartment/Loft style room: Please refer to the cleaning schedule below. Apartment and loft cleaning schedules vary by location.  

    If you need assistance cleaning your bathroom, you may submit a work order for custodial support. This service is intended for occasional or emergency situations and may be accompanied by a cleaning fee.  

    Anytime a custodial work order is placed, or your space is scheduled to be cleaned, please remove all personal items from the space so that the team are able to clean the various surfaces in the space. 

  • Epicenter Apartments 

    • Monday: Apartment ending in 10 and 20 (between 1:00 PM and 4:15 PM) 
    • Tuesday: Apartment ending in 30 and 40 (between 1:00 PM and 4:15 PM) 
    • Wednesday: Apartment ending in 50 (between 1:00 PM and 4:15 PM) 
    • Thursday: Apartment ending in 60 (between 1:00 PM and 4:15 PM) 
    • Friday: Apartment ending in 70 (between 1:00 PM and 4:15 PM) 

    Lassonde Lofts 

    • Monday: Lofts 2001, 3001, 4001, 5001 (between 2:00 PM and 4:15 PM) 
    • Tuesday: Lofts 2002, 3002, 4002, 5002 (between 2:00 PM and 4:15 PM) 
    • Wednesday: Lofts 2003, 3003, 4003, 5003 (between 2:00 PM and 4:15 PM) 
    • Thursday: Lofts 2004, 3004, 4004, 5004 (between 2:00 PM and 4:15 PM) 
    • Friday: Lofts 2005, 3005, 4005, 5005 (between 2:00 PM and 4:15 PM) 

    Marriott Honors Community  

    Your apartment's shared spaces—including the kitchen, bathroom, and living room—are cleaned by staff members every other week to help keep your home comfortable and welcoming. Between scheduled cleanings, we ask that all residents do their part by tidying up after everyday use to help maintain a clean and enjoyable space for everyone. 

    Shoreline Ridge and Benchmark Plaza  

    Your apartment's shared spaces—including the kitchen, bathroom, and living room—receive a staff cleaning approximately every six weeks (about three times each semester). We'll provide advance notice before each scheduled cleaning. Between these visits, residents are responsible for routine housekeeping and cleaning after everyday use to help keep the apartment comfortable and enjoyable for everyone. 

    Officers Circle 

    Your house's shared spaces—including the kitchen, bathroom, and living room—are professionally cleaned Monday through Friday. To help keep these spaces comfortable and enjoyable for everyone, we ask that residents tidy up after everyday use between scheduled cleanings. 

  • During each scheduled service, our team will provide a light cleaning of your apartment's shared spaces, including the kitchen, living room, and bathroom.

    Kitchen 

    • Wipe down countertops 
    • Clean the stovetop, sink, and microwave 
    • Mop or vacuum the floor, as appropriate 

    Living Room 

    • Light dusting and wipe down of furniture surfaces 
    • Vacuum the living room and hallway floors 

    Bathroom 

    • Clean the shower, sink, and toilet 

    To help our team provide the best service, please note the following: 

    • Resident trash is not removed during scheduled cleanings. Please dispose of trash regularly to help keep your home clean and comfortable. 
    • Personal belongings should be cleared from shared spaces before the scheduled cleaning. If items remain, our staff will clean around them when possible, and some areas may not be serviced. 
  • Residents are responsible for disposing of trash from their rooms. After you move in, we encourage you to locate the nearest trash room in your building so you can easily and conveniently dispose of waste throughout the year. 

  • Cleaning supplies can be found at your assigned hospitality desk or in a community closet on your floor.  

    The items found in cleaning buckets are:
    - All-purpose cleaner
    - Glass cleaner
    - Paper towels

Mold

  • The University is committed to providing safe, healthy, and well-maintained residential communities. 

    The Salt Lake Valley's dry climate naturally limits the conditions needed for mold growth. While mold spores are present in both indoor and outdoor environments, mold only grows when moisture is present for an extended period of time. In university housing, suspected mold concerns are uncommon and are typically associated with an identifiable moisture source, such as a plumbing leak, water intrusion, or persistent humidity. 

    For this reason, the University focuses on preventing and addressing moisture issues quickly before mold has an opportunity to develop. 

  • Residents play an important role in maintaining a healthy living environment. The following practices help prevent excess moisture and reduce the likelihood of mold growth: 

    Keep Bathrooms Clean 

    Regularly clean showers, sinks, and other bathroom surfaces to prevent buildup from soap residue, dirt, and mildew. 

    Reduce Humidity 

    Bathrooms naturally become humid during showers. To help moisture dissipate: 

    • Always use the bathroom exhaust fan while showering. 
    • Leave the bathroom door open after showering whenever possible to improve airflow. 
    • Submit a Facilities Work Order if your bathroom exhaust fan is not working properly. 

    Report Water Issues Promptly 

    Because moisture is the primary condition that allows mold to grow, promptly reporting water issues is one of the most effective prevention measures. 

    Submit a Facilities Work Order if you notice: 

    • Dripping faucets or showerheads 
    • Leaking toilets 
    • Wet carpet or flooring 
    • Water stains on walls or ceilings 
    • Plumbing leaks 
    • Standing water 
    • Persistent dampness or unusual moisture
    • Addressing moisture quickly helps prevent conditions that could support mold growth. 
  • Every report of suspected mold is taken seriously and evaluated by Facilities staff. 

    Step 1: Facilities Inspection 

    A Facilities technician will conduct a visual inspection of the reported area to evaluate: 

    • Potential sources of moisture or water intrusion 
    • Plumbing concerns 
    • Damp or wet building materials 
    • Visible discoloration or suspected mold growth 

    In many cases, concerns are determined to be discoloration, staining, mineral deposits, soap residue, or other conditions that have developed over time rather than active mold growth. 

    Step 2: Additional Evaluation (If Needed) 

    If Facilities staff identify conditions that may support mold growth, or if additional evaluation is needed, the University may engage an independent environmental consultant. 

    The consultant may conduct professional sampling and laboratory analysis to determine whether mold is present and whether remediation is necessary. 

    Step 3: Corrective Action 

    If mold requiring remediation is identified, the University will address the underlying moisture source and complete appropriate remediation using established practices. 

    Correcting the source of moisture is the most important step in preventing future mold growth. 

  • The University does not recommend consumer at-home mold testing kits for evaluating residence hall rooms. 

    Mold spores naturally exist in indoor and outdoor environments. Because of this, many consumer testing kits can detect normal background levels of mold spores but cannot determine whether there is an active building concern. 

    Most consumer kits cannot determine: 

    • Whether mold is actively growing 
    • The source of moisture 
    • Whether conditions require remediation 

    For these reasons, at-home testing kits may create unnecessary concern and do not provide the information needed to evaluate a building environment. 

    If you have a concern about moisture or suspected mold, submit a Facilities Work Order. Facilities staff will inspect the area and coordinate additional evaluation when appropriate.

  • Submit a Facilities Work Order. Facilities staff will inspect the area, evaluate potential moisture sources, and determine whether additional action is needed. 

  • A visual inspection is the first step in evaluating a suspected mold concern. Many reported concerns are resolved through inspection because there is no evidence of active mold growth or a moisture source. Professional testing is used when additional evaluation is appropriate. 

Windows & Screens

  • To help keep your room comfortable and your windows functioning properly, please follow the operating guidelines below based on your building. 

    Sliding Windows
    If your room is located in Chapel Glen, Gateway Heights, Officers Circle, Benchmark Plaza, Shoreline Ridge, or Sage Point, your window opens by sliding up and down. Please do not force the window beyond the built-in safety lock. Doing so may damage the window and create a safety concern within your room. 

    Crank Windows 

    If your room is located in Kahlert Village, Lassonde, Epicenter, Marriott Honors, or Trailhead, your window opens using a crank mechanism and is designed to open to approximately a 45-degree angle. Please do not force the window beyond this point, as doing so may damage the window. 

  • Window screens must remain installed at all times and should not be removed. If a screen becomes loose, falls out, or is damaged, please submit a maintenance request as soon as possible so it can be repaired or replaced. 

    Residents may be responsible for repair or replacement costs if damage to the window or screen is caused by misuse or intentional removal. 

Heating & Cooling

  • Please note that thermostats have set temperature ranges to help keep spaces comfortable while protecting the heating and cooling systems. Typically, if outdoor temperatures are below 50 degrees (Farenheit) cooling systems will be less efficient and may not cool as desired.  

    Marriott Honors, Lassonde, Chapel Glen, Gateway Heights, and Sage Point
    These buildings use a centralized system for domestic hot water, heating, and cooling. Temperature settings for your space can be adjusted using the local thermostat.  

    Each apartment has a thermostat for the apartment unit.  

    Non-apartments have a local thermostat in the room or suite. 

    Kahlert Village and Epicenter
    These buildings use a centralized system to provide domestic hot water, while heating and cooling are provided through a Variable Refrigerant Flow (VRF) system. Temperature settings can be adjusted using the local thermostat in your space.  

    These spaces have a thermostat in the room or suite. 

    Shoreline Ridge, Officers Circle, and Benchmark Plaza
    These buildings operate similarly to a standard residential home. Each apartment has a local water heater that provides hot water and heating, while cooling is provided through an individual condenser unit. Heating and cooling settings can be adjusted using the local thermostat. 

    Trailhead 

    Trailhead uses individual mini-split systems in each room, like those found in many residential homes. Heating and cooling can be adjusted using the thermostat located near the front door of each room. 

    Thermostats are found in rooms and suites.  

Outlets

  • Be mindful when using electrical equipment in your space. Depending on your room type, you will have 2 to 3, 15-amp circuits in your room, with 2 outlets per circuit.  

    If you are experiencing issues with breakers tripping, try moving electrical devices to different outlets to alleviate amp load on the circuit. If you are still experiencing issues, submit a work order and work with maintenance staff to resolve the issue. 

    Trailhead Mini Fridge/Microwave In-Room
    Please keep the refrigerator and microwave plugged into the designated outlet in your room. This outlet is specifically equipped to support this appliance and helps prevent power interruptions or tripped breakers.  

Lofting Beds

  • Location matters as not all beds are able to be lofted.  

    If you live in Officers Circle, Benchmark Plaza, Shoreline Ridge, Pods in Lassonde, Endcaps in Epicenter or 4-person single suites in Trailhead. You cannot loft your bed. 

  • Other beds are able to be lofted, lifted, or lowered in height. Please visit your hospitality desk to check out a mallet (rubber hammer). You will need the mallet to help with losing the latches from your bed. Please make sure that there are at least 2 people helping with this process. Start on one side of the bed then move to the other. Ready? Check this video!

    TRAILHEAD RESIDENTS, please put in a maintenance request to loft your bed. You cannot do this yourself as a kit is needed. You will need to sign into your Trailhead portal and then you can fill out your request. If you are having trouble, please visit the front desk in the lobby. Please note that there is a limited number of loft kits for installation. We will install these on a first come first served basis, we encourage students to place their requests early.
